A: Registration Tents will be open starting at 9:00am the morning of 10/26 right outside the Hangout property on the west side, along Sutton Place.
That is where you will pick up your credentials, shuttle pass, and goody bag.
Q: If we pick up our shuttle pass at registration, how do we get to the Hangout without our pass yet?
A: The shuttle will be available ‘till 12:00pm on Thursday without a pass, going in the direction of the Hangout only. If you miss that window you will be responsible for getting yourself to registration prior to being able ride the shuttle.
You must have a transportation pass prior to the event. Transportation passes will not be sold on site.
Q: Is the shuttle ADA accessible?
A: The shuttles are 56 passenger tour busses and are not fully accessible. We will do what we can to accommodate our less mobile parrot heads by keeping seats open at the front of the bus and allowing time to store items such as walkers and wheelchairs in the storage compartments below.
Q: Can we bring chairs and tents?
A: You cannot bring tents. However, you may bring a folding chair. There is seating at the Hangout, but not for 2000 people.
You may not leave your chair up overnight. But there will be a “Chair Check For Chairty” located in the registration tents on Thursday and Friday.
The cost of the chair check is $2 per chair, cash only, with all proceeds going to the Lone Palm Foundation. If any chairs are left overnight they will be available for pick-up at the chair check for $10, also cash, also with 100% of the proceeds going to the Lone Palm Foundation. All chairs left on Saturday night will be donated.
Q: Can I bring my own alcohol?
A: No. All alcohol must be purchased at the Hangout and must be consumed before leaving the Hangout. No outside food or beverages allowed.
Q: What is the cost of MOTM this year?
A: The price of registration for MOTM 2023 is $172.22 (USD ONLY) per attendee.
Q: When does registration open?
A: Registration opens on February 28, 2023 for both VIP and General Registration and will close September 15 or when capacity is reached, whichever occurs first. Mail-in registrations are no longer accepted.
Q: Who can attend the Meeting Of The Minds Convention?
A: Any member in good standing of a Parrot Heads In Paradise, Inc. chartered, official Parrot Head Club. You must be a member before your registration can be approved, and in good standing. For the purposes of the MOTM Convention, “members in good standing” are those club members who have their dues paid in full thru the dates of the convention. One person per registration form. Although not recommended to those under 18, the event is open to those 12 and older. All attendees must be registered (paid) for Meeting of the Minds to access The Hangout grounds Thursday – Saturday.
Q: Am I allowed to bring my dog?
A: Animals are not allowed at the Hangout Thursday through Saturday, or on the VIP Pool Deck at all, during the week of MOTM. This rule applies to any and all non-verifiable service animals.
All other venues are operated independently, and their individual rules shall apply.
Q: Do I need my credentials to enter all venues?
A: Convention credentials are only required to enter The Hangout grounds and/or the VIP Pool Deck Thursday Oct. 26th – Saturday Oct. 28th. All other dates and locations are open to the public.
Q: What is the VIP program for 2023?
A: The VIP program for 2023 has two options:
Option 1 is the a la carte VIP experience for MOTM attendees who either are not staying in a VIP ocean-view room or who are staying in a VIP ocean-view room purchased by another attendee. If you are sharing a room with someone who purchased the VIP room package, and you’d like the same VIP benefits, you MUST select VIP option 1 when registering. This option is $472.22 and includes your MOTM registration.
Option 2 is the new VIP Premium Room Package, which includes a four-night stay in one of three condos for four nights. You may reserve ADDITIONAL nights at the PHIP discounted rate – beginning as early as Sunday, October 22 and as late as Monday, October 30th departure. There are seven room-type options included in Option 2 with prices ranging from $1,350 for a 1-bedroom unit to $4,950 for multi-room units. All units come equip with a full kitchen. This VIP room package includes ONE VIP registration, so any guests staying in your room will need to register for MOTM on their own and will need to select Option 1 if they also want the VIP benefits.
When buying a VIP Premium Room Package, you will pay for the entire package at the time of purchase, as opposed to merely reserving a room with a deposit. However, while both the MOTM and VIP registrations are non-refundable, the balance of your VIP package – that associated with the room reservation – remains fully refundable up until September 1, 2023. Cancellations after October 1, 2023 are transferrable but not refundable.
Q: I’m interested in being a VIP. What are the benefits and how many are available?
A: For MOTM 2023, we will have 320 VIP registrations available. The benefits include:
Exclusive gift bag and gifts
Expedited on-site registration and VIP credential/wristband.
Shuttle Pass to Off-Site Venues (Thursday – Sunday)
Exclusive access to the VIP roof-top pool and lounging area overlooking the beach and The Hangout. With occasional live music and the best view of the sunset in town you may not want to leave.
Designated VIP area in The Hangout overlooking the Courtyard and Stages.
Credit to be used at The Hangout and roof-top pool deck bar.
Q: I purchased a VIP Premium Room Package and need to change the date of my arrival. What do I do?
A: For any change to a room in the VIP block, you must contact the MOTM VIP Coordinator at HOTEL_VIP@MOTM.ROCKS.com
Q: Who can ride the MOTM Shuttle?
A: Only those that have purchased a shuttle pass for the event may ride the shuttle. A shuttle pass will be included with all VIP registrations. Refer to convention guide and/or website for stops and times.
Q: I’m staying at a host condo and want to reserve a specific room – whom do I speak to?
A: Rooms are assigned at check-in at the host condo – we are not able to assign rooms in advance of check-in.
Q: I have made a reservation at a host condo; however, I haven’t been able to join a PHC, yet. How long do I have to get this done?
A: YOU MUST BE A MEMBER IN GOOD STANDING WITH A PARROT HEAD CLUB TO STAY IN A HOST CONDO. YOU HAVE 30 DAYS FROM BOOKING YOUR ROOM AND REGISTERING FOR MOTM TO BECOME A MEMBER OR YOUR RESERVATION WILL BE CANCELLED.
Q: What happens if after I register I find out I cannot come to the convention?
A: There are NO REFUNDS OR TRANSFERS OF REGISTRATION FEES. This includes a VIP Registration. If you are unable to attend the convention after registering you may have a friend who is attending pick up your goodie bag (and t-shirt, if ordered) on your behalf. We are unable to mail these items. Your credential will be mailed post-convention. If you purchased the VIP Premium Room Package at registration, you will need to contact HOTEL_VIP@MOTM.ROCKS to inform of room cancellation.
Q: When will I receive confirmation that I am registered?
A: Upon completion of your online registration, you should immediately receive a “Registration Completion” email (provided you supplied a valid email address). Your registration is not confirmed until your Club Leader confirms your membership in your respective Parrot Head Club. Your Club Leader should let you know that they’ve confirmed you. Confirmations take place at the beginning of each month. Check with them shortly after if they have not let you know they’ve confirmed you.
Bring a valid government issued photo ID to the event to pick-up your credentials. You will be required to wear your credentials and wristband at all times while on the convention site premises.
Q: I am not a member of a Parrot Head Club. Can I just select a club when I register, and you enroll me?
A: No. Registering for the convention does not enroll you in any Parrot Head Club and we cannot enroll you in a club. However, we’ve made it easy for you. https://phip.com/chaptermembership/
Q: There is no Parrot Head Club near me, what can I do?
A: You can join the Virtual Parrot Head Club. This club was established for those who have no local club. The ONLY Online Parrot Head Club is located at: http://www.virtualphc.com
Q: When does registration close?
A: Online registration closes when capacity is reached, or on September 15th, whichever occurs first.
Q: I don’t have a credit card. Can I mail a check?
A: Sorry, but it’s 2023. This is no longer available.
Q: What’s included in my registration fee?
A: Each paid registrant with confirmation of PHC membership in good standing, will receive admittance to the MOTM convention along with a goody bag, credential, and wristband. T-shirts are paid for separately and, if ordered and, will be distributed during onsite check-in at the host hotel.
Q: I missed the deadline – is there anything I can do?
A: Unfortunately, if you’ve missed the deadline for registration your only option is through On-site Registration. On-site Registration is $230 and includes membership in the Virtual Parrot Head Club. It does not include a goody bag or option to purchase a Transportation Pass.
Q: Is the event doing anything to mitigate the spread of COVID?
A: At the current time, there are no screening requirements for COVID screening for MOTM 2023. We suggest all attendees take the precautions they are comfortable with and to not attend MOTM if you have COVID, are having symptoms, or are feeling unwell. This policy may change based upon the COVID situation at the time of the convention.
Q: I have registered to be a vendor at MOTM. Do I also need to register as an attendee?
A: No, your vendor credential provides admittance to the MOTM convention.
